LEGAL BASIS
Section 55 of the Registration Act, 1908 requires every registration office, in Punjab and in Chandigarh alike, to keep four indexes of the documents it registers, and Index No. II holds the property particulars of the documents entered in Book No. 1, as the Inspector-General directs. Section 57 entitles any person to inspect Book No. 1 and its indexes and to obtain copies of the entries on payment of the fee. An index entry confirms that a document was registered and where to find it; it is not the document, and a certified copy of the deed itself is a separate application. In Chandigarh the indexes are kept by the Sub-Registrar at the 30 Bays Building, Ground Floor, Sector 17.

Personal data is collected only to obtain and retain the certified registry index or equivalent summary record for the identified registered instrument, communicate about that purpose, verify property or title information, and retain an evidentiary record.
The record will be held by __________ and may be shared only with the applicant, owner, proposed buyer, lender, advocate, registering authority, revenue/estate authority, bank, Central Registry/CERSAI-related search service, or other person directly involved in the stated title or encumbrance check.
If the request does not proceed, personal data will be retained for 90 days and then erased. If it proceeds, the record will be retained for the matter plus 12 months, except where a statutory record-retention rule requires a longer named period.
A person named here may withdraw consent for future consent-based processing, request correction or erasure when the purpose has ended, or raise a grievance by writing to __________. The record-holder should acknowledge and respond within 30 days.
