Auto mutation checklist: freehold property (sale, gift, family transfer, exchange deed)
Buyers or transferees of a freehold property who register the deed with the Sub-Registrar, UT Chandigarh, and want the Estate Office record changed automatically; the checklist lists what goes with the deed.
Issued by: Estate Office, Chandigarh Administration
The form itself is in English, exactly as the issuing office prints it.
How to fill it in
- Download the set and print it. Fill in the printed blanks by hand, in clear block letters, with a blue or black pen.
- The checklist asks for: the transferee’s affidavit-cum-indemnity bond with two witnesses (Annexure-I), self-attested photo ID, any loan clearance in original, the occupation certificate or sewerage connection (or the alternatives it lists, with an architect’s certificate in Annexure-II), and, if a GPA / SPA / Sub-GPA is used, a certified copy with the affidavit in Annexure-III.
- Fill in the affidavit and other annexures only where your case needs them. Where an annexure is an affidavit-cum-indemnity bond, it is to be sworn before the notary or magistrate the checklist names, with the witnesses it asks for, on the stamp paper value printed on it.
- The checklist adds extra papers if the application is made through a GPA / SPA / Sub-GPA, or by a partnership firm or a company. Attach those only if they apply to you.
- The checklist’s notes say: documents already in the Estate Office records need not be submitted again if you point them out; a document prepared outside India must be embossed by the Finance Department, Chandigarh Administration; and false information leads to rejection, so that you must apply afresh.
- Where it goes: the checklist lists documents to be submitted in the office of the Sub-Registrar, UT Chandigarh, along with the deed.
- Sign where the form asks you to, check that no blank is left empty, and keep a photocopy for yourself.
