Common mistakes

  • Assuming you can unilaterally waive or buy out your notice period when your appointment letter actually leaves that decision to the Company.
  • Not checking a shorter probation-period notice clause before assuming the standard notice period in your appointment letter applies to you.
  • Leaving your full-and-final-settlement request too general when Company policy actually requires specific items — an exit interview, a no-dues form, return of a laptop, ID card or SIM — named up front.

Questions people ask before using this document

Can I just decide to pay in lieu of notice instead of serving it?

Only if your appointment letter or employment agreement actually gives you that option. Some contracts leave the choice of waiving or buying out notice to the Company alone, in which case asking for it in this letter is a request the Company may decline, not a right you can exercise unilaterally. Check the notice clause before assuming either option is yours to choose.

Do I have to give a reason for resigning?

No. Stating a reason is optional, and many resignation letters simply do not include one. If you do choose to give one, a brief, neutral line is enough — this letter does not require, and does not benefit from, a detailed explanation.

What should I ask the Company to settle before I leave?

Your full and final settlement — including any accrued leave encashment and outstanding reimbursements — and the documents you will need afterward: an Experience/Relieving Letter and a service certificate. If your Company's policy requires an exit interview, a no-dues clearance form, or return of specific assets such as a laptop, ID card or SIM, list those specifically rather than relying on a general request alone.

Does resigning early break a bond or training-cost recovery clause?

Possibly, but this letter does not address that question. If your appointment letter or a separate agreement has a bond, training-cost recovery clause, or minimum-service clause, check whether resigning before the stated period triggers it — that is a separate matter between you and the Company, worked out apart from this letter.

What is the difference between this letter and an Experience/Relieving Letter?

This is the letter that starts your exit — written and signed by you, telling the Company you are leaving and on what terms. The Experience/Relieving Letter is the Company's own certificate, issued afterward once your notice period has run and your dues are settled, confirming the exit is actually complete.
