When you need it

Use this at the end of a season when a farmer and his arhtiya (commission agent in the grain market) sit down and settle the account for the crop the farmer sold through the arhtiya. It records the produce and the quantity sold, the sale value, the commission and other deductions the rules allow, any advance the arhtiya gave during the season and any interest on it, and the net amount left, and who pays it to whom and how.

Both sign, so that the figures are agreed and not left to memory. It settles this crop and this period only. Other seasons' dealings and any other advance stay open unless the statement says otherwise. It does not decide whether any commission or interest charged is lawful; it only records what the parties say they have agreed, and the rules for the time being in force still apply to it. Not for: a loan on its own, with a promise to repay (use the Acknowledgement of Debt); a complete settlement of a dispute that ends all claims (use a full and final settlement paper); a sale of the crop in the field (use the Standing Crop Sale Agreement).

What follows is written for Punjab and Chandigarh. It states the position there rather than describing how it varies, so the amounts below are the ones that apply — worth confirming at the sub-registrar’s office, because rates change. If the property is anywhere else in India, none of this is yours.

Stamp duty

A statement of account and settlement creates no right in property, so no conveyance duty is charged. If it includes a promise by one party to pay the other a fixed sum, it can be read as an acknowledgement of a debt, and a receipt for money paid may need a revenue stamp where the amount is above the threshold in the Indian Stamp Act, 1899. This drafter could not confirm a fixed figure for Punjab or Chandigarh, so none is stated; ask on the official e-stamping portal or at the Sub-Registrar counter if the sum is large.

Registration

Not compulsorily registrable: this agreement creates no interest in immovable property, so section 17 of the Registration Act, 1908 does not require it to be registered. The parties may still choose to register it for extra evidential weight.

Notarisation

Not required. Either party may have it notarised for extra comfort that the signatures are genuine; carry original photo ID.

Witnesses

Not required by law, but two adult witnesses who are not parties are customary in village practice and are provided for below.

ARHTIYA AND FARMER ACCOUNT SETTLEMENT

This statement and settlement of account is made at Village Rurki, Tehsil Samrala on 2 April 2026.

BETWEEN

Nirmal Singh, of Village Bhatian, Tehsil Samrala, District Ludhiana, mobile 98140-00000 (the "Farmer");

AND

Sharma Commission Agents, through Rakesh Sharma, of Anaj Mandi, Samrala, District Ludhiana, mobile 98140-00000 (the "Arhtiya").

The Arhtiya's licence or registration number is: As on the arhtiya's licence.

  1. 1. THE ACCOUNT

1.1 This account is for the Farmer's produce sold through the Arhtiya, being Paddy, kharif 2026, and covers the quantity sold: 320 quintals in total, in the sale slips listed by the arhtiya.

1.2 The Arhtiya has shown the Farmer the sale slips or bills for the produce, and the Farmer has checked them against his own record.

  1. 2. STATEMENT OF FIGURES

2.1 Total sale value of the produce: ₹7,40,000 (Rupees Seven Lakh Forty Thousand only).

2.2 Less, commission charged by the Arhtiya: ₹18,500 (Rupees Eighteen Thousand Five Hundred only). The Arhtiya states that this is within what the rules for the market for the time being in force allow.

2.3 Less, other deductions allowed by the rules (market fee, labour, cleaning, weighing): ₹4,200 (Rupees Four Thousand Two Hundred only).

2.4 Less, advance given by the Arhtiya to the Farmer during the season and recovered now: ₹1,50,000 (Rupees One Lakh Fifty Thousand only).

2.5 Less, interest on that advance, as the parties agreed: ₹6,000 (Rupees Six Thousand only). This is recorded only because it was agreed, and the law for the time being in force on interest still applies to it.

2.6 Net amount left: ₹5,61,300 (Rupees Five Lakh Sixty One Thousand Three Hundred only), which is payable by the Arhtiya to the Farmer.

  1. 3. PAYMENT

3.1 The net amount shall be settled by bank transfer to the payee's own bank account, on or before 1 April 2026. The party who receives it shall give a receipt, and the Arhtiya shall write the payment in the Farmer's page of the books.

  1. 4. WHAT THIS SETTLES

4.1 This settlement covers only the produce, the season and the figures stated above. Dealings of any other season, and any other advance not named above, are not settled by it and stay open, with the rights of both parties kept.

4.2 If either party finds a mistake in a figure within three months, he shall tell the other in writing and the mistake shall be put right. Otherwise the figures are accepted as correct for this account.

4.3 Neither party gives up the right to complain to the market committee or any authority about a charge that the rules do not allow. If the Farmer signs without objecting to an item, that does not make a charge lawful that the rules forbid.

  1. 5. DISPUTES

5.1 The parties shall first try to settle any dispute by talking, if they wish with the help of respected elders or the village panchayat.
