When you need it

An employer in Punjab or Chandigarh is closing an employee's account after the employee has left — by resignation, termination, end of a fixed term or retirement — and wants one letter that lists what is being paid, what is being deducted, the net amount and the date it is paid, with the employee's signed acknowledgement of receipt. Pay what is due promptly after the last working day: the labour law now in force sets a short time limit for paying a departing employee's wages.

Gratuity, provident fund and other statutory dues follow their own rules and are shown here only as amounts you enter. This letter records a settlement; it does not decide what is legally due. Not for the Experience/Relieving Letter, which certifies service and is issued separately. Not for the Termination/Warning Letter, which ends the employment in the first place. Not for an employee chasing unpaid dues — see the Legal Notice for Unpaid Salary or Dues.

What follows is written for Punjab and Chandigarh. It states the position there rather than describing how it varies, so the amounts below are the ones that apply — worth confirming at the sub-registrar’s office, because rates change. If the property is anywhere else in India, none of this is yours.

Stamp duty

Not chargeable to stamp duty under the Indian Stamp Act, 1899, in Punjab or Chandigarh — it is a letter, not an instrument that creates or transfers any right. Print it on the employer's letterhead.

Registration

Not registrable. Section 17 of the Registration Act, 1908 has no application to a letter of this kind.

Notarisation

Not required. What matters is proof that it reached the other side: hand delivery against a signed acknowledgement, registered post, or a dated email. Keep that proof with the file.

Witnesses

None required.

Dear Rajesh Bansal,

This net amount will be paid to you on 3 April 2026, by bank transfer to the employee’s salary account. All company property has been returned and accepted.

This settlement covers the dues shown above. It does not take away any right that the law gives you and that cannot be given up by agreement, and it does not affect your provident fund, which is dealt with under that scheme's own rules. If you think any figure is wrong, please tell us in writing before signing, and we will look at it again.

Yours sincerely,

For Northline Analytics Private Limited
