When you need it

Your child is leaving a school, either to join another school, because the family is moving, or on finishing the school's last class, and you need the school to issue the Transfer Certificate (also called School Leaving Certificate). This is your own covering application to the principal, with the child's particulars, the reason and the papers you enclose.

Not for a college Migration Certificate (use the Migration Certificate Affidavit). Not for a refund of fees (use the Fee Refund Request to College). The form of the certificate, the time the school takes and any fee for a duplicate are fixed by the school and its Board; this letter only asks for it. Ask a lawyer if a school refuses to issue the certificate on account of dues.

What follows is written for Punjab and Chandigarh. It states the position there rather than describing how it varies, so the amounts below are the ones that apply — worth confirming at the sub-registrar’s office, because rates change. If the property is anywhere else in India, none of this is yours.

APPLICATION FOR TRANSFER / SCHOOL LEAVING CERTIFICATE

Dear Sir/Madam,

I am the father of Jasleen Kaur, a student of Class 8-B in your school (Admission/Scholar No. 2019/0456), whose date of birth as recorded in the school register is 1 April 2026.

My child is leaving the school because the family is moving to Chandigarh and the child will join a school there. My child is to be admitted to Bhavan Vidyalaya, Sector 27, Chandigarh.

I request you to issue the Transfer Certificate (School Leaving Certificate) of my child, with the particulars recorded in the school's admission register and in the form that the school and its Board prescribe.

I will clear any dues that the school's records show against my child, on being told the amount, and I request that the certificate be issued at the earliest, as my child needs it to continue studies.

I enclose: Copy of the child's school identity card; receipt of the last fee paid

Yours faithfully,
