MINUTES OF THE ANNUAL GENERAL MEETING

Annual general meeting for the co-operative year ended 1 April 2026, held on 5 April 2026 at 10.30 a.m. at the community hall in the Society's premises.

Chair and record. Gurmeet Singh Bhullar took the chair. The Chairman of the Society presided. Jaspreet Kaur, Secretary of the Society, recorded the proceedings.

Notice. The notice of the meeting, with its agenda, was issued on 2 April 2026. It was sent to every member by registered post at the address in the register of members and affixed on the notice board at the registered office. The chair recorded that it gave members 23 clear days before the meeting, the period the Rules and the Society's registered bye-laws require, and that no business outside that agenda would be taken up.

Members in default. Before any business, the Secretary read out the names of the members in default of dues to the Society, who took no part in the meeting: Amarjit Singh (house 14) and Neelam Rani (house 37).

Quorum. Members on the register: 84. Members present in person, as signed in the attendance register: 46. Quorum under the bye-laws: 21. The quorum being present, the chair declared the meeting duly constituted.

Members present. The members present in person were: Gurmeet Singh Bhullar (house 1), Jaspreet Kaur (house 9), Rakesh Kumar Arora (house 22) and 43 others, as in the attendance register annexed. No member voted by proxy or for an absent member, and each member present had one vote.

Minutes of the last meeting. RESOLVED that the minutes of the general meeting held on 3 April 2026, taken as read, be confirmed, with these corrections, which the Secretary will enter in the minute book: in item 4, the amount sanctioned for the boundary wall is corrected to 3,20,000. The resolution was carried unanimously.

Annual report. The managing committee presented its annual report on the working of the Society for the year and answered the questions members put on it. RESOLVED that the annual report be adopted. The resolution was carried unanimously.

Accounts and audit. The audited balance sheet and income and expenditure account for the year ended 1 April 2026, with the audit report of M/s Grewal and Bedi, Chartered Accountants, were placed before the meeting. The committee reported on the audit objections: the objection on unreconciled bank entries has been rectified; the one on the repair fund register will be rectified by 31 December 2026 RESOLVED that the audited accounts be adopted, that the audit report be taken on record, and that the committee report the rectification of every open objection to the next general meeting. The resolution was carried unanimously.
